- How do I know when I’ve been assigned a task?
Typically you will receive an email from the builder with a link to JobFile. In future, you will be able to turn on notifications on your mobile app, or via emails and SMS to be notified when updates occur. - Can I reschedule a task if I’m unavailable?
Each builder has different rules, but if you can reschedule a task, the action is called Propose Alternate Date. This is because the builder still controls the schedule, and they will take your proposed alternate date, update their schedule and then reissue the callup. - What happens after I mark a task as complete?
All the updates you put into the system will be loaded into the builders system. Completion of tasks, acceptance, starting and progress updates. - Can multiple people at my company view the same task?
You can upgrade to a paid account and allow multiple users to update JobFile using your account.

- What types of documents can I upload?
You can upload photos, PDFs, word documents and more. JobFile supports a whole range of documents commonly used in the building process. - Can I upload more than one file per task?
Yes – you can upload lots of documents to the task. - Do I need to upload a photo or just a note?
You can do either. Upload a note with a photo attached, or a note without a photo, or just upload a photo – its up to you. - Will the builder be notified when I upload something?
All the documents you upload are shared with the builder unless you have a paid account and choose to make the documents private for your records only.
Job Not Ready (JNR)
Flag when a site isn’t ready so you don’t waste a trip.

- What is “Job Not Ready” and when should I use it?
Job Not Ready is an import notification to the builder to help them ensure the job is not delayed. You should only use it when you are unable to start the work expected of you due to the condition of the job site that is the responsibility of the builder to rectify. - Do I still need to call the builder if I submit a JNR?
That is something to discuss between you and the builder – each will have different requirements, but the JNR is a good record shared between both of you. - What happens after I report a JNR?
The supervisor is notified about the JNR, and they will organise for it to be rectified. When it is – the JNR status will be updated, and you will be notified. - Can I change a JNR reason later if needed?
No – you can add additional notes the JNR discussion, add photos, but the reason has already gone to the builder.
SWMS, Compliance & Site Check-ins
Make sure you and your team are covered before work begins.
- Upload your SWMS and other safety documents per job
- Complete a site check-in to confirm you’ve arrived and read safety notices
- Some tasks may be blocked until SWMS and check-in are done

- Where do I upload my SWMS?
Against the task. You can either upload your SWMS document or create a SWMS document on the spot with our SWMS tool. - What if I don’t have a SWMS document?
JobFile has a SWMS tool that will ask you questions about the work you do, make suggestions and guide you through the process. - Can I reuse the same SWMS for different jobs?
Yes – if you are using JobFile for creating the SWMS, you can reuse it for the next job. You can also copy it and adjust it. If you are uploading the SWMS, then you will need to make sure each SWMS has the right job details on it to be compliant. - Do subcontractors need to check in separately?
Yes – JobFile can easily share a check in link via SMS (for paid accounts), or you can copy a link and send to your team. Alternatively, you can show them a QR code that they can scan on arrival to check in. - What happens if I forget to check in?
The builder will be able to review these check-ins, and your attendance to compliance actions. If the builder has configured mandatory action, you will not be able to complete the task and/or get paid without it.
Creating Invoices from Orders
Speed up payments by sending invoices directly from JobFile.

On the task screen you can see the order if the builder has upload it. You can create an invoice to match the order directly, or for paid accounts, you can upload additional invoices, or invoices that are not strictly equal to the purchase order details. - Can I invoice for a partial amount?
Users with a paid account to JobFile can upload partial orders. - How do I know the builder has received my invoice?
The invoice details will be updated in JobFile for you to see.
